Advanced Search Options

This topic accompanies the Use Advanced Search article. Options for each search type in the Advanced Search dialog box are explained in the following paragraphs.

 

Note: This topic assumes you know the purpose of each search type. If you need basic information about each type, see Types of Search.

Categories

  • Category Field: Select the field that contains the category value for which you want to search.

  • Operator: Select Equal to find documents containing the selected category value or Not Equal to find documents that do not contain the selected value.

  • Value: Select the category for which you want to search.

Custodian

  • Operator: Select Equal to find documents containing the name of interest or Not Equal to find documents that do not contain the selected value.

  • Value: Select the custodian name of interest.

Doc Tags

  • Search Private Tags: Select this option to include private tags in your search.

  • Search type: Select one of the following options:

    • Search by Tag: To find all documents with a specific tag, select this option and a specific tag from the corresponding list.

      To search for all documents tagged (or not tagged), do not select a specific tag.

    • Search by Tag Group: To find all documents tagged with any tags in a specific group, select this option and a specific tag group from the corresponding list.

      To search for all documents tagged (or not tagged), do not select a specific group.

  • Value: Select from the following options:

    • Any Tag: When a specific tag or group is not selected, choose this option to find all documents containing any tags.

    • Not Any Tag: When a specific tag or group is not selected, choose this option to find all documents containing no tags whatsoever.

    • Not Tagged: Find documents that do not contain a selected tag or any tag(s) from a selected tag group.

    • Tagged: Find documents that contain a selected tag or any tag(s) from a selected tag group.

Duplicate Value

  • Field 1: Select the first field.

  • Field 2: Select the second field.

Embedded Text

  • Operator: Select Contains to find documents with embedded text matching the specified text, or Not Contains to find documents without embedded text matching the specified text.

  • Enter Search: Enter the text or phrase of interest.

  • Search options: Expand the search by selecting the Stemming, Phonetic, and/or Fuzzy options. For details on these options, see Full-text Search Options.

TIP: To find all documents with embedded text, enter an asterisk, * , in the Enter Search field.

Folders (Private), Public, or Smart Folders

Combine folder searches with another search(es) to find something specific in the folder. For example, you may combine one of the folder searches with documents that have been tagged in a certain way to find documents in the folder with the specified tag. Options include:

  • Choose Folder to Search (or Choose Smart Folder): Select the needed folder.

  • Operator: Select Contains to find documents in the selected folder, or Not Contains to find documents not in the selected folder.

Full Text

  • Select Fields: To limit the search to a specific field, select it from this list, and then select the needed field. Indexed fields are listed; if the field you want to search is not listed, select Key Fields instead of Full Text for the search type. If the field is not included in either list, contact your administrator.

  • *All Fields means all indexed fields that the user has rights to view. Most fields can be indexed; the EXTRACTEDTEXT field is always indexed.

  • Operator: Select the needed operator. Note: for fields that qualify for Relational Searching, if the needed relational operator is not present, use the main Search bar instead of Advanced Search.

  • Enter Search: Enter the search term, phrase, or statement. Common oper­ators can be included as described in Basic Search Operators.

  • Search Options: If needed, expand the search by selecting the Stem­ming, Phonetic, and/or Fuzzy search options. For Fuzzy, select the fuzzi­ness level: Low, Medium, or High. For details on these options, see Full-text Search Options.

TIP: For a proximity search, enter the proximity statement in the Enter Search field, such as: .

Key Fields

  • Key Field: Select the database field to be searched.

  • Operator: Select the operator to be used.

  • Value(s): Enter the value or range of values you want to find. Make sure that you match the format of the data being searched. For example:

    • Enter dates in the format defined for the field. For dates containing slashes, such as 2007/01/01, you may need to omit the slashes (enter 20070101).

    • For key fields such as Document ID, all leading zeroes must be included. If a needed ID is “0000000100,” do not enter “100.”

    • You can use the asterisk wildcard to represent one or more characters. For example, if image keys include a prefix such as “ECL,” you can enter ECL*9 to find all image keys ending in “9.”

    • You can leave the Value fields blank (or enter a space) to find records for which the key field has no entries (using an appropriate operator).

Page Tags

Options for page tags are the same as those for Doc Tags.

Production Job

Select the needed production job.

Production Key

Production Key to Search: Enter the production image key of interest (the case document corresponding to the specified production document will be found).

TIP: This search is also available from the context menu of the case table.

Redaction Categories

  • Choose Category to Search: Select the needed redaction. To search for all redacted documents/pages, ignore this selection.

  • Operator: Select from the following options:

    • Any Set: Find all documents that contain any redactions on any pages in the document (Category to Search selection is ignored).

    • Not Any Set: Find all documents that contain no redactions on any of the pages in the document (Category to Search selection is ignored).

    • Not Set: Find documents that have no pages containing a selected redaction.

    • Set: Find documents that have pages containing a selected redaction.

TIP: When viewing a document in your search results in the Image tab, clear the Show All Image Keys option to limit the pages in the tab to those containing the redaction(s) specified in the search. Selecting that option shows all pages in the document.

Review Status

  • Review Pass: Select the review pass of interest.

  • Batch: Select All Batches or a single batch of interest. To search multiple (but not all) batches, create a separate search statement for each batch.

  • Operator: Select Equal to find documents tagged with the selected review status or Not Equal to find documents that are not tagged as needed.

  • Review Status: Select ALL, Not Reviewed, On Hold, or Reviewed to find documents tagged with the review status of interest.

Sticky Note

  • Operator: Select Contains to find documents with sticky notes that contain the specified text, or Not Contains to find documents without sticky notes containing the text.

  • Enter Search: Enter the text or phrase of interest.

  • Search options: Expand the search by selecting the Stemming, Phonetic, and/or Fuzzy options. For details on these options, see Full-text Search Options.

TIP: To find all documents with sticky notes, enter an asterisk, * , in the Enter Search field. 

Transcripts

  • Search Type (choose one or more of the following):

    • Issue: When this option is selected, choose an issue of interest in the corresponding list.

    • Transcript Text: When this option is selected, enter text that exists within the body of the transcript(s) in the corresponding field.

  • Operator: Select Contains to find a specific issue or text in the transcripts or Not Contains to find transcripts that do not contain the specified issue or text.

  • Issue: Select an issue of interest to search for, or to exclude from the search, depending on your selection in the Operator field.
  • Transcript Text: Enter the text you would like to search for, or to exclude from the search, depending on your selection in the Operator field.
  • Text Options: Expand either type of text search by selecting the Stemming, Phonetic, and/or Fuzzy search options. For details on these options, see Full-text Search Options.
